Booking Terms and Conditions

The Dog & Duck | Customer booking policy

These terms apply to table bookings at The Dog & Duck. The person making the booking must read them before confirming the reservation and is responsible for making the other members of the party aware of any relevant booking requirements.


1. Making a booking

Tables for up to eight guests can be booked online. For parties of nine or more, please call us on 01623 354400.

Please ensure that the contact details, arrival time and party size supplied with your booking are accurate. Tell us as soon as possible if anything changes.

A booking is confirmed when you receive confirmation from us and, where required, we have received the deposit.


2. Outside tables

Online bookings apply to indoor tables only. Outside tables cannot be reserved and are available on a first-come, first-served basis. We cannot guarantee that an outside table will be available when you arrive.


3. Accessibility

Please select the Restricted Access option when booking if anyone in your party uses a wheelchair or may have difficulty using steps or accessing certain areas.

We will make reasonable adjustments to help disabled guests access and use our services. Some areas may not be suitable for every access requirement because of the building’s layout. Please call us on 01623 354400 if you would like to discuss suitable seating or assistance.


4. Dogs and assistance dogs

Pet dogs are welcome in our hard-floor bar area and outside areas, subject to availability. Please call before booking if you intend to bring a pet dog so that we can confirm whether a suitable table is available. Dogs must be kept on a lead at all times. If a dog shows signs of aggression or disrupts other guests the restaurant may ask the owner to leave.
Owners are responsible for cleaning up after their dog. Dogs are not to be placed on seating or tabletops. They are also not permitted to eat from guests plates. 

Assistance dogs are welcome. Please contact us if there is anything we can do to support your visit.


5. Highchairs and special requests

Please tell us in advance if you require a highchair, space for a pushchair or have another seating request. We will do our best to accommodate requests but cannot guarantee them unless they have been expressly confirmed by us. Children must be supervised by a responsible adult.


6. Allergies and dietary requirements

Please tell us about any food allergy, intolerance or dietary requirement when booking, ordering or submitting a pre-order. We also encourage you to remind a member of the team when you arrive so that we can reconfirm the information with you.

We provide the allergen information required by law and take reasonable care when preparing and serving food. Our kitchen handles multiple allergens. Where we cannot safely prevent cross-contact, we will explain this so that you can make an informed choice. We may be unable to accommodate a particular requirement where we cannot do so safely.

Please speak to a member of the team rather than relying solely on menu descriptions when making decisions about allergens.


7. Cancellations for parties of eight or fewer

Bookings for eight or fewer guests can be cancelled without charge. Please cancel as soon as possible if you are unable to attend so that we can offer the table to another customer.

Cancellations can be made using the link in your confirmation email or by calling 01623 354400 during opening hours. A cancellation takes effect when it is received by us.


8. Arrival times and table duration

Please arrive at the time stated in your booking. If you are going to be late, please call us as soon as possible.

If you arrive more than 15 minutes late without contacting us, we may release your table. We will still try to accommodate you, but this will be subject to availability and may involve a wait or a shorter dining time.

If a table-return time applies, it will be displayed during the booking process or included in your confirmation.


9. Menus, availability and prices

Our current menus are available on our website. Certain menus and dishes and offers are only available on particular days or at particular times. Menus, ingredients and availability may occasionally change.

Prices will be those shown on the applicable menu when you order, except where there is an obvious pricing error identified before your order is accepted. If this happens, we will explain the error and allow you to decide whether to proceed at the correct price.


10. Bills and payment

The bill must be paid in full before the party leaves the premises. Please tell us before ordering if you would like to pay separately. We will try to accommodate split-payment requests, although we may need to limit the number or method of separate payments during busy periods.

Please raise any query about your bill as soon as possible so that we can investigate it promptly. You may still contact us after leaving if you identify an error or have a legitimate concern.


11. Problems and complaints

We carry out check-backs so that problems can be addressed promptly. Please tell a member of staff as soon as reasonably possible if anything is wrong. This allows us to investigate and, where appropriate, replace a dish, correct the service or offer another suitable solution.

Reporting a problem promptly may affect what solution is reasonably available, particularly if the food has been substantially consumed. However, this does not remove any rights you may have where food or service was unsafe, did not match what was agreed or was not provided with reasonable care and skill.

If an issue cannot be resolved during your visit, contact the Restaurant Manager by calling 01623 354400, emailing manager@dognduck.co.uk or writing to The Manager at Dog & Duck, Main Road, Kings Clipstone, Mansfield, Nottinghamshire, NG21 9BT. Please include your name, booking date and time, and enough information for us to investigate.


12. Food taken away from the restaurant

Food taken away must be transported, stored, reheated and consumed safely. We are not responsible for deterioration or contamination caused by how food is handled, stored or reheated after it has been handed to the customer.


13. Alcohol, conduct and safety

We operate a Challenge 25 policy. If you appear to be under 25, you may be asked to provide acceptable photographic identification. We will not sell or serve alcohol to anyone under 18 or where doing so could breach licensing law.

We may refuse entry or service, or ask a guest to leave, where reasonably necessary because of threatening, abusive, discriminatory, unsafe or seriously disruptive behaviour, intoxication, damage to property or a breach of licensing law. Guests may be responsible for the reasonable cost of repairing deliberate or negligent damage they cause.


Additional terms for parties of nine or more

The following terms apply to every booking originally made for nine or more guests, even if the number of guests is later reduced.


14. Large-party bookings and deposits

Parties of nine or more must be booked by calling 01623 354400. A deposit of £10 per person is required. The booking is not confirmed until you have received confirmation from us and the full deposit has been paid. The deposit will be deducted from the final bill.


15. Large-party cancellations

If you cancel the day before your reservation within the opening hours of the restaurant and have this cancellation confirmed by a manager, the deposit will be refunded in full.

If you cancel on the day of your reservation, the deposit will not be refunded. This reflects the likely loss to the restaurant because a large table has been reserved and may be difficult to fill at short notice.

For these terms, “on the day” means from 12:00am on the calendar date of the reservation.

Cancellations can be made using the link in your confirmation email, where available or by calling 01623 354400 during opening hours. A cancellation takes effect when it is received by us.

We will process any refund due within five working days. Your bank or card provider may take additional time to return the money to your account. If The Dog & Duck cancels your booking, your deposit will be refunded in full.


16. Reductions and no-shows

Please tell us about any reduction in party size before the day of the reservation.

If fewer guests attend than the number confirmed and we were not notified before the booking day, the £10 deposit relating to each absent guest will be retained. Deposits relating to guests who attend will still be deducted from the final bill.

If the entire party fails to attend without cancelling before the booking day, the full deposit will be retained. We will consider exceptional circumstances fairly and reasonably.


17. Large-party pre-orders

A pre-order for all starters and main courses must be submitted at least 48 hours before the reservation. Desserts may be ordered on the day.

You may request changes until 48 hours before the reservation. After this deadline, the pre-order will be treated as final and changes cannot be guaranteed.

Newly identified allergy information will always be considered separately, although we may be unable to provide a suitable dish where it cannot be prepared safely.

If we have not received the pre-order by the deadline, we will attempt to contact the person who made the booking. If it is still not received, we may cancel the reservation. If we cancel solely because the pre-order was not supplied, the deposit will be refunded.

If a pre-ordered dish becomes unavailable, we will offer an appropriate alternative. You will not be charged for a dish we cannot provide if you do not accept the alternative.


18. Your legal rights and our details

Nothing in these terms excludes or limits any consumer right or legal responsibility that cannot lawfully be excluded or limited.
